1. Who we are
1.1 This policy explains how Abu Khubz, a software development studio in England, handles personal data. The business is operated as a sole trader trading as Abu Khubz (trading name; company details to follow upon incorporation).
1.2 For the personal data described in this policy, we are the controller. You can reach us at hello@abukhubz.com.
2. The information we collect
2.1 Enquiry form. When you contact us through the form on abukhubz.com, we collect your name, business name, email address, phone number and message.
2.2 Email correspondence. If you email us, we keep the correspondence, including your contact details and anything you choose to include in it.
2.3 Server logs. Our hosting infrastructure records standard technical logs — IP address, browser type, pages requested and timestamps — which we use for security monitoring and fixing faults.
2.4 We do not collect special category data through the website, and we ask you not to send sensitive information through the enquiry form.
3. Client project data
3.1 When we build, host or operate systems for clients, those systems may contain personal data belonging to the client or their customers — for example, contact records in a dashboard or message logs in a WhatsApp automation.
3.2 For that data we act as a processor: we handle it only on the client's documented instructions, and the client remains the controller. A data processing agreement covering these obligations is available on request from hello@abukhubz.com.
4. Why we use your information
We rely on the following lawful bases under UK GDPR:
- Responding to enquiries and discussing potential work — our legitimate interest in replying to people who contact us, and steps taken at your request before entering a contract.
- Delivering services, invoicing and account administration — performance of a contract with you.
- Keeping accounting and tax records — compliance with a legal obligation.
- Security logging and fault diagnosis — our legitimate interest in keeping our site and systems secure and working.
5. How long we keep it
- Enquiries that do not lead to work: 24 months from our last contact, then deleted.
- Project records, contracts and invoices: 6 years after the end of the tax year they relate to, to meet tax and accounting rules.
- Server logs: up to 90 days.
- Client project data we hold as a processor: for the length of the engagement, then returned or deleted as the contract requires.
6. Who we share it with
6.1 We use a small number of suppliers who process data on our behalf, in these categories:
- Hosting and infrastructure — running our website and the systems we build.
- Email — receiving, sending and storing correspondence.
- Payment processing — taking payments and issuing invoices.
6.2 Each supplier is bound by contract to protect personal data and to act only on our instructions. A current list of suppliers is available on request.
6.3 We do not sell personal data. We may disclose it where the law requires — for example, to HMRC or under a court order.
6.4 We protect personal data with encrypted connections, access controls and reputable suppliers, and we limit access to those who need it.
7. International transfers
Some of our suppliers store data outside the UK. Where that happens, the transfer is protected by UK adequacy regulations or by the UK International Data Transfer Agreement or Addendum, so your data receives an equivalent standard of protection.
8. Your rights
8.1 Under UK GDPR you can ask us to: give you a copy of your personal data; correct it; delete it; restrict how we use it; stop processing based on legitimate interests; and transfer it to another provider where you supplied it under a contract or with consent.
8.2 To use any of these rights, email hello@abukhubz.com. We will respond within one month.
8.3 If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk. We would welcome the chance to put things right first.
9. Cookies
9.1 We use essential cookies only — those needed for the site to function and stay secure.
9.2 We do not use advertising cookies, cross-site tracking or analytics that profile you. Because essential cookies do not need consent under UK law, the site does not show a cookie banner.
10. Changes to this policy
We may update this policy as the business or the law changes. The current version is always at abukhubz.com, with the date shown at the top. If a change significantly affects active clients, we will tell them directly.
